    Recognition of Prior Learning (RPL) / Recognition of Current Competency (RCC)

    If you have prior qualifications and/or experience gained through years of work in skilled and challenging roles, you may be eligible to apply for Recognition of Prior Learning (RPL). Gaining recognition for existing skills can sometimes be challenging and may hold you back from progressing your career. If this applies to you, ACFB can help you unlock your full potential by recognising your skills.

    All applications for RPL/RCC are assessed by ACFB’s Program Manager. Please note that all RPL/RCC applications must be accompanied by the required performance evidence outlined in the relevant documentation and are submitted during Stage 2 of the process.

    How does the RPL/RCC process work?

    The RPL/RCC process consists of two (2) stages. RPL forms, which list all Units of Competency within each course, are available on the relevant course page on ACFB’s website:

    Stage 1
    • Identify the units for which you believe you have the required knowledge and skills, and where you can provide the required performance evidence.
    • Carefully review the example evidence required for each unit. You must submit evidence that meets all Performance Evidence requirements for each unit.
    • Tick the checkboxes next to each unit you wish to apply for RPL/RCC.
    • Email the completed form to
      [email protected].
    • Pay the non-refundable RPL/RCC processing fee of $100. This fee will be deducted from your course fee after enrolment.
    • ACFB will then provide you with an RPL/RCC document for each unit requested.
    Stage 2
    • Complete the RPL/RCC unit documents provided, responding in detail to all short-answer questions related to your knowledge of each unit.
    • Submit each completed unit document together with all required evidence to
      [email protected]. Hard copy submissions will not be accepted.
    • If applying for RPL/RCC across multiple units, place all evidence for each unit into a separate folder named using the unit code. Zip each folder before attaching it to your email.
    • ACFB will assess your submission and may request additional evidence where required. This may include practical demonstrations and/or oral questioning.
    • You will receive an RPL/RCC Summary outlining the units for which RPL/RCC has been granted, along with the amended course price (if applicable). The amended price will include a per-unit RPL/RCC processing fee.
    • RPL/RCC applications may take between 10–21 business days to process from receipt of all completed documentation and supporting evidence.

    Victorian Government VET Student Enrolment Privacy Notice

    The Victorian Government, through the Department of Education and Training (the Department), develops, monitors and funds vocational education and training (VET) in Victoria. The Victorian Government is committed to ensuring that Victorians have access to appropriate and relevant VET services. Any personal information collected by the Department for VET purposes is protected in accordance with the Privacy and Data Protection Act 2014 (Vic) and the Health Records Act 2001 (Vic).

    Collection of your data

    ACFB is required to provide the Department with student and training activity data. This includes personal information collected in the ACFB enrolment form and unique identifiers such as the Victorian Student Number (VSN) and the Commonwealth’s Unique Student Identifier (USI). ACFB provides data to the Department in accordance with the Victorian VET Student Statistical Collection Guidelines, available at

    Use of your data

    The Department uses student and training data, including personal information, for a range of VET purposes including administration, monitoring and planning, including interaction between the Department and Student where appropriate. The data may also be subjected to data analytics, which seek to determine the likelihood of certain events occurring (such as program or subject completion), which may be relevant to the services provided to the student.

    A student’s USI may be used for specific VET purposes including the verification of student data provided by ACFB; the administration and audit of VET providers and programs; education-related policy and research purposes; and to assist in determining eligibility for training subsidies.

    Disclosure of your data

    As necessary and where lawful, the Department may disclose VET data, including personal information, to its contractors, other government agencies, professional bodies and/or other organisations for VET-related purposes. In particular, this includes disclosure of VET student and training data to the Commonwealth and the National Centre for Vocational Education Research (NCVER).

    Legal and Regulatory

    The Department’s collection and handling of enrolment data and VSNs is authorised under the Education and Training Reform Act 2006 (Vic). The Department is also authorised to collect and handle USIs in accordance with the Student Identifiers Act 2014 (Cth) and the Student Identifiers Regulation 2014 (Cth).

    Survey participation

    You may be contacted to participate in a survey conducted by NCVER or a Department-endorsed project, student outcome survey, audit or review relating to your training. This provides valuable feedback on the delivery of VET programs in Victoria. Please note you may opt out of the NCVER survey at the time of being contacted.

    Consequences of not providing your information

    Failure to provide your personal information may mean that it is not possible for you to enrol in VET and/or to obtain a Victorian Government VET subsidy.

    RTO Privacy Notice & NCVER Survey

    Under the Data Provision Requirements 2012, ACFB is required to collect personal information about you and to disclose that personal information to the National Centre for Vocational Education Research Ltd (NCVER).

    Your personal information (including the personal information contained on this enrolment form), may be used or disclosed by ACFB for statistical, administrative, regulatory and research purposes. ACFB may disclose your personal information for these purposes to:

    • Commonwealth and State or Territory government departments and authorised agencies; and
    • NCVER.

    Personal information that has been disclosed to NCVER may be used or disclosed by NCVER for the following purposes:

    • populate authenticated VET transcripts;
    • facilitate statistics and research relating to education, including surveys and data linkage;
    • pre-populate RTO student enrolment forms;
    • understand how the VET market operates, for policy, workforce planning and consumer information; and
    • administer VET, including program administration, regulation, monitoring and evaluation.

    You may receive a student survey which may be administered by a government department or NCVER employee, agent or third-party contractor or other authorised agencies. Please note you may opt out of the survey at the time of being contacted.

    Refund Policy

    Non-VET Student Loan Refund Policy

    Purpose and Scope

    1.1 This policy applies to students enrolled in non-VET Student Loans (VSL) enabled courses at ACFB. It outlines refund and withdrawal conditions for:

    • On-campus students
    • On-campus FLEXI students
    • Distance Learning / Online students

    Cancellations and Withdrawals

    2.1 All requests for withdrawal or course cancellation must be received in writing to
    [email protected]. The withdrawal process begins from the date the request is received.

    Cooling-Off Period

    3.1 Students have a cooling-off period from the date they sign the enrolment forms (agreement) to 11:59pm on the date before course commencement.

    3.2 During this period, students may withdraw and receive a full refund, minus a $300 administration fee.

    3.3 After the cooling-off period expires, students are liable for the full course fee, regardless of withdrawal.

    3.4 Where a student enrolling in the Advanced Diploma of Myotherapy is required to undertake an upskilling course, the deposit paid to secure required resources is non-refundable and is not subject to the cooling-off period.

    Exception:

    • If a student enrolled in the Diploma of Remedial Massage withdraws after the cooling-off period and before the commencement of Section 2, they will be liable for 60% of the total course fee.
    • If the student withdraws after the commencement of Section 2, they will be liable for the remaining balance.

    Note: A student is considered to have commenced a course when:

    • On-Campus: The date of the first scheduled class.
    • Distance Learning / Online: The date and time login details are issued and/or access to Section 2 is provided (Diploma of Remedial Massage).

    Withdrawal & Refunds After Course Commencement

    4.1 ACFB acknowledges that course fees may be paid in advance of the delivery of training and assessment. Course fees represent the total cost of enrolment in a structured training program, including administrative, academic, and resource-related components provided at or prior to commencement and progressively throughout the course. As such, fees are not apportioned solely based on the amount of training and assessment delivered over time.

    4.2 Students who withdraw after the cooling-off period remain liable for the full course fee, even if course materials have not been accessed or sessions attended.

    4.3 Students on a payment plan or ZipMoney must continue payments as per their agreement.

    4.4 Failure to honour instalment plan obligations will result in ACFB commencing debt recovery.

    4.5 Failure to honour ZipMoney obligations may result in restricted access, debt collection, or legal action initiated by ZipMoney.

    Extenuating Circumstances

    5.1 ACFB recognises that unforeseen circumstances may impact a student’s ability to continue study. These may include:

    • Serious illness or injury not pre-existing at enrolment
    • Serious medical conditions arising after the cooling-off period
    • Death or serious illness of an immediate family member

    5.2 Verifiable evidence (e.g. medical certificates) must be provided. Where genuine and extenuating hardship is verified and results in permanent inability to complete the course, an out-of-policy arrangement may be approved at the sole discretion of the RTO CEO or Delegated Authority.

    5.3 Pre-existing conditions disclosed or undisclosed at enrolment are not grounds for refunds after the cooling-off period.

    5.4 All cases are assessed individually on their merits. Supporting documentation is mandatory.

    5.5 Non-legitimate reasons include:

    • Change of mind about the qualification
    • Preference for another training provider
    • Change in career path
    • Employment changes
    • Personal financial difficulties
    • Pregnancy
    • Reduced study time availability
    • Relocation or housing changes
    • Lack of course progression
    • Failure to meet entry or competency requirements

    5.6 ACFB is committed to supporting students but encourages careful review of these terms prior to enrolment.

    Financial Hardship Policy

    6.1 Financial hardship refers to an inability to meet financial obligations. Unwillingness does not constitute hardship. Eligibility is at ACFB’s discretion.

    6.2 To be considered:

    • The hardship must arise after the cooling-off period and be beyond the student’s control.
    • Pre-existing financial hardship may allow alternative arrangements at ACFB’s discretion.
    Requesting a Payment Plan Adjustment

    6.1 Requests must be submitted in writing with evidence of genuine hardship and will be assessed in line with policy.

    • No pro-rata refunds without adequate documentation
    • Evidence must be verifiable
    • ACFB will not contact third parties unless validation is required

    Course Suspensions & Transfers

    7.4 Deferrals are permitted as outlined in the Student Handbook. Payment plans continue and refunds are not provided.

    7.5 Students exiting to a lower-level qualification are not entitled to refunds beyond the lower-level course fee.

    Provider Default

    8.4 If a class is postponed or cancelled, students may transfer to an alternate intake or receive a full refund.

    Payment Plan Obligations

    9.4 Students remain liable for all instalments unless a refund is approved.

    9.5 Missed payments may result in enrolment cancellation with no refund.

    Refund Processing

    10.1 Refund requests must be submitted in writing to
    [email protected].

    10.2 Approved refunds will be processed within 28 days.

    Debt Recovery

    11.1 Outstanding debts may be referred to solicitors or debt collection agencies. Students are liable for all recovery costs.

    Appeals Process

    12.1 Appeals may be lodged in accordance with the Complaints and Appeals Policy available at
    acfb.edu.au.

    VET Student Loans Refund Policy

    This section applies to students eligible for VET Student Loans assistance in VET Student Loans enabled courses. Census dates are published on
